How to Extract Action Items From Any Meeting

The biggest reason meetings feel unproductive is fuzzy follow-through. Here's a simple framework to make sure every meeting ends with a list of clear, owned next steps.

The OWN rule

Every valid action item has three parts. If one is missing, it isn't an action item — it's a wish.

    Owner

    Exactly one named person. Not a team, not 'we'.

  • W

    What

    A concrete verb-led task. 'Draft the proposal', not 'look into it'.

  • N

    Next

    A due date or trigger. 'By Friday' or 'after legal review'.

Listen for trigger phrases

Action items are almost always introduced by predictable language. Train your ear (or your AI) on these:

  • "Can you...", "Will you..."
  • "I'll take care of...", "I'll follow up on..."
  • "Let's circle back on...", "Next step is..."
  • "Before next week...", "By [date]..."

End every meeting with a readback

In the last two minutes, read the action items back out loud. People will correct ownership or dates in real time — saving you a week of "wait, I thought you were doing that."
