How to Turn Any Meeting Into an AI Action Plan

A repeatable way to leave every meeting with owners, deadlines and next steps — generated automatically instead of typed up afterwards.

Notes are not the problem. Most teams already have notes. What they do not have is a clear list of who does what by when — which is why the same topic reappears in next week''s meeting. An AI action plan closes that gap: instead of a wall of transcript, you leave the call with a short, assignable plan.

What an AI meeting action plan is

It is a structured output generated from the conversation itself, containing four things:

  1. Decisions — what was actually agreed, stated in one line each.
  2. Action items — a verb, an owner, and a due date.
  3. Open questions — things nobody could answer in the room.
  4. Next checkpoint — when the group looks at this again.

A copyable template

Meeting: [name] — [date]
Goal: [what this meeting was meant to decide]

Decisions
- [decision] (owner: [name])

Actions
- [ ] [action] — [owner] — due [date]

Open questions
- [question] — who can answer: [name]

Next checkpoint: [date / meeting]

How to generate it automatically

  1. Record the meeting. With AI Meeting Companion nothing joins the call — you press record on your own device, in the browser or on your phone.
  2. Say the plan out loud. The AI can only assign what was spoken, so end with "so, Maria sends the draft by Thursday, I book the follow-up." Thirty seconds of verbal recap dramatically improves the output.
  3. Generate notes. Decisions and action items come back separated, with owners where they were named.
  4. Review once, then send. Fix any owner the AI guessed wrong, then share the summary.
  5. Track it. Action items land in the Tasks tab so the plan is not just a document nobody reopens.

Habits that make the plan stick

Where it pays off most

Project kickoffs, client calls and weekly standups benefit most, because those are the meetings where commitments are made verbally and then quietly forgotten. Ready-made structures for each: project kickoff, client meeting, daily standup.
