Privacy Policy

This Privacy Policy explains what personal data BAE VIEW LLC, trading as AI Meeting Companion ("we", "us"), collects, how we use it, and the rights you have. It is written to align with the EU GDPR, the UK GDPR, the California CCPA/CPRA, and similar global frameworks.

1. Who is the controller

BAE VIEW LLC is the data controller for the personal data described below. Contact: customercare@baeview.com.

2. What we collect

• Account data — email, name, hashed password or OAuth identifier.
• Meeting content — titles, descriptions, attendees, notes, decisions, action items, summaries, share-link state.
• Voice & audio — when you use Record Meeting or Dictate, audio is captured locally and the resulting transcript is sent to our backend to generate notes/summaries. Raw audio is not stored on our servers unless you save it to a meeting.
• Usage data — device, browser, IP address, pages viewed, feature events.
• Billing data — handled by our payment processor; we receive only the metadata required to provision your plan.

3. Why we use it (legal bases)

• Contract — to provide the Service you signed up for.
• Legitimate interest — to secure the Service, prevent abuse, and improve product quality with aggregated analytics.
• Consent — for optional features such as marketing email; you can withdraw consent at any time.
• Legal obligation — to meet tax, accounting and lawful-request requirements.

4. AI processing

To generate briefs, clean notes, extract decisions, and produce summaries we send the relevant meeting content to large language model providers acting as our processors. We do not authorize them to use Your Content to train their foundation models. A list of subprocessors is in the Data Processing Agreement.

5. Sharing

We share data only with: (a) subprocessors under written contract (hosting, database, AI inference, email, analytics); (b) Paddle.com Market Limited, our Merchant of Record, which processes payments, manages subscriptions, calculates tax and issues invoices on our behalf; (c) authorities when required by valid legal process; and (d) a successor entity in the event of a merger or acquisition (with notice). We never sell personal data.

6. International transfers

Data may be processed in the EU, UK and US. Transfers outside the EEA/UK are covered by the Standard Contractual Clauses and supplementary measures where required.

7. Retention

We retain your data for as long as your account is active. When you delete your account we erase your meetings, transcripts, action items and profile within 30 days, except where retention is required by law (e.g. invoices).

8. Security

We encrypt data in transit (TLS) and at rest. Access to production data is restricted, logged and reviewed. Row-Level Security ensures one customer cannot read another's data.

9. Your rights

Depending on your jurisdiction you have the right to access, rectify, erase, restrict, port and object to processing of your personal data, and to lodge a complaint with a supervisory authority. To exercise these rights email customercare@baeview.com. California residents may exercise rights under the CCPA/CPRA, including the right to opt out of "sharing" — we do not share for cross-context behavioural advertising.

10. Children

The Service is not directed to children under 16 and we do not knowingly collect their data.

11. Cookies

We use strictly necessary cookies to keep you signed in, and (where you consent) first-party analytics cookies to understand usage in aggregate. You can manage cookies in your browser settings.

12. Changes

Material changes will be announced in-app and by email when we have your address.
